Responsibilities
Reporting to the Maintenance Manager, with dotted line accountability to the Operations Manager, the Maintenance/Operations Assistant is accountable for providing administrative support to the Maintenance and Operations Teams. The focus of this role will be to provide administrative and clerical support to both the Maintenance and Operations departments, ensuring seamless coordination across shared functions.
- Run weekly/monthly cost, cost driver & KPI reports and maintain department dashboards based on these reports.
- Daily entry of Maintenance Technician timecards into SAP.
- Daily confirmation of Contractor timesheets into SAP Service Entry Sheets.
- Balancing of invoices to contractor Service Entry Sheets when received from Accounting.
- Production of month end reports.
- Assist Maintenance and Operations Manager with yearly budget preparation.
- Demonstrate timely and accurate preparation and distribution of reports, minutes, correspondence, forms, graphs, etc.
- Assist with work order management, purchase requisitions, and invoice tracking in coordination with Maintenance and Procurement teams.
- Auditing of any personnel expense claims.
- Entry of Equipment Histories & Inspections into SAP.
- Manage department documentation, records, and filing systems (electronic and physical) to ensure compliance with company standards and audit readiness.
- System support; troubleshooting and assistance to fellow colleagues on office software applications for Microsoft Office, SAP. and miscellaneous office equipment operations.
- Maintain vacation/absence and On-Call calendars for Maintenance/Operations personnel.
- Maintain integrity of existing equipment list and equipment hierarchy in SAP. This includes creation of new equipment and Functional Locations, moving equipment to new Functional Locations, and moving obsolete equipment to deletion file.
- Support scheduling and coordination of meetings, training sessions, and shift coverage planning, including preparation of agendas and minutes.
- Assist in creation of SOP, SJA and other execution related documentation.
- Assist in tracking of engineering status and deliverables.
- Prepare and distribute communications, memos, and notices on behalf of the Operations and Maintenance Supervisory teams.
- Act as the point of contact for day-to-day administrative needs within the Maintenance shop and Operations office areas.
Education, Skill & Experience
Knowledge and understanding of relationships between various departments and functions in each as they interface directly with maintenance.
- Post-secondary training in office administration or business, plus at least 5 years of relevant administrative experience.
- Proficiency in working with a variety of computer software applications including Microsoft Office and SAP.
- Maintain a professional manner when dealing with confidential matters.
- Ability to communicate effectively, both written and verbal.
- Ability to work with little or no supervision.
- Excellent organizational skills.
