Executive Assistant

About the Unit

The Executive Assistant (EA) provides high-level administrative, organizational, and strategic support to the Business Unit Senior Vice President (SVP). This role is central to enabling the SVP’s effectiveness by managing priorities, maintaining operational rhythm, and ensuring seamless execution of day-to-day responsibilities. The ideal candidate is a proactive, highly organized professional with exceptional communication skills, sound judgment, and the ability to represent the SVP and Business Unit with discretion and professionalism.

 

The Executive Assistant will report to the SVP - North America and will be based out of the Tampa, FL office, with a hybrid schedule offered.

Responsibilities

  • Executive Support & Office Management
    • Manage the SVP’s calendar, travel arrangements and expense reports, prioritizing time and commitments aligned to BU and corporate priorities.
    • Prepare, edit, and format presentations, reports, agendas, and briefing documents for internal and external meetings.
    • Coordinate communications on behalf of the SVP, including email drafting, meeting follow-ups, and stakeholder outreach.
    • Serve as a reliable gatekeeper, screening requests, managing information flow, and protecting the SVP’s time.
    • Ensure the SVP is fully prepared for meetings, including pre-reads, data summaries, and decision-support materials.
    • Provide administrative & organizational support to other North America leadership team members.
    • Provide occasional administrative backup support to reception desk activities.
  • Leadership Team & BU Coordination
    • Support planning and execution of leadership team meetings, BU all-hands, off-sites, and strategic workshops.
    • Track key actions, decisions, and deliverables across the BU leadership team; follow up to ensure timely closure.
    • Assist with managing the Business Unit’s annual calendar, operating rhythm, and communication cadence.
    • Liaise with other executive offices, functional departments, and external partners to ensure alignment and smooth collaboration.
  • Project Support & Strategic Assistance
    • Support special projects and strategic initiatives as assigned by the SVP, including research, document preparation, and coordinating cross-functional workstreams.
    • Contribute to continuous improvement efforts for BU processes, workflows, and communication practices.
    • Collect, consolidate, and maintain information for business reviews, KPIs, quarterly updates, and board-level materials.
  • Confidentiality & Professional Representation
    • Manage sensitive information with the highest level of confidentiality and discretion.
    • Represent the SVP and BU in interactions with senior leaders, customers, and external stakeholders.
    • Maintain a high standard of professionalism in written and verbal communication.

Profile

  • Experience supporting multiple managers at one time.
  • 5+ years of experience in an Executive Assistant or Personal Assistant role supporting senior executives (SVP, VP, C-Suite).
  • Strong organizational, project management and multi-tasking skills; able to prioritize and manage multiple deadlines.
  • Excellent verbal and written communication abilities.
  • High proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word) and collaboration tools (Teams, SharePoint, etc.).
  • Impeccable work ethics & proven ability to handle confidential information with integrity.
  • Strong interpersonal skills and the ability to work effectively across levels and functions.
  • Strong attention to details and quality deliver.
