Administration Officer

Responsibilities

 

  • Ensure procurement process for Vilnius site is operating in an effective and accurate way: evaluate suppliers, create purchase orders, monitor suppliers' performance and resolve issues
  • Collaborate with accounting team to ensure invoices are paid on time, keep tracking changes of procurement process and communicate updates to the relevant teams
  • Schedule meetings, book conference rooms outside EBS premises, if needed
  • Foster safety culture within the office by participating in safety walks, overseeing the fire marshals and first aiders communities to ensure compliance with safety regulations
  • In collaboration with the building manager report and resolve issues related to heating, lighting systems
  • Maintain well-organized document management system, prepare documentation upon request
  • Support the coordination of EBS initiatives and internal events
  • Manage stationery, procure related goods and services
  • Manage the car park places in the underground car park for employees and visitors according to internal Yara regulations
  • Track compliance with internal policies, including mobile phone usage, clean desk policy and medical examination requirements
  • In charge of daily administration tasks and reception duties 
  • Respond to employees' queries, provide support for site managers 
  • Help coordinate the administrative tasks associated with the organization's training requirements

Profile

 

  • Higher education or currently studying
  • 1 year working experience in administrative role 
  • Fluent spoken and written in Lithuanian and English languages
  • Computer skills: MS Office and in general comfortable with technical solutions
  • Respectful, positive and service-minded attitude 
  • Effective communication, problem solving skills
  • Eligible to work in Lithuania (the role is based in Lithuania)

Offered Salary

 

We offer salary from 1850 Eur to 2692 Eur/month gross (before taxes, language premium is not applicable for this role).  Final offer depends on candidate's competences.
